Position Summary:

HUB International’s vision is to be the leading sales and service organization in the insurance industry. HUB International Atlantic is seeking a self-motivated Administrative Assistant working out of our Saint John office.  This person will be a strong team player, able to effectively multi-task, be very customer focused, have solid administrative skills and the ability to problem solve.  This role involves interaction with diverse stakeholders including clients, management, internal and external staff and directly supports the President & CSO, HUB International Atlantic, reporting into the Operations Manager.

Job Responsibilities:

  • Manage the calendar of the President & CSO, requiring interaction with both internal and external stakeholders including  preparing meeting materials as required

  • Ensure all requests are completed in an accurate and timely manner

  • Answer and respond to all calls and e-mails, promptly, professionally and courteously, and forward appropriately

  • Maintain document flow, handling incoming/outgoing electronic and hard copy communications (including scanning, faxing, copying, preparing of documents and materials)

  • Coordinate and process required licensing of employees

  • Handle management incoming mail

  • Maintain and respect company, client and employee information and treat with highly confidential nature

  • Perform other duties as required including office equipment maintenance, and general office duties

  • Plan and arrange management travel, meetings and events

Qualifications and Experience:

  • College Diploma or University Degree or equivalent work experience
  • Minimum of 2 years’ experience in an administrative and/or office capacity
  • Knowledge of Commercial and Personal Lines insurance principles considered an asset
  • Experience on a broker management system an asset
  • Act with a high level of confidentiality and professionalism at all times
  • Advanced proficiency with Microsoft Office Suite: Word, Excel, PowerPoint and Outlook
  • Strong competency with computers and the ability to learn new systems
  • Strong organizational, time and client management skills
  • Effective communication skills both written and verbal
  • Strong initiative, proactive with solid follow up skills and the ability to multi-task
  • Customer focused with a team player and positive attitude
