Job Description


Position Title: Receptionist 

Location: Toronto, Financial District 

Job Responsibilities:

  • Answer telephone switchboard and direct calls
  • Greet visitors (i.e. hang coats and offer beverages)
  • Monitor visitor access and maintain security awareness
  • Receive and sort mail and deliveries
  • Scan mail for various departments
  • Prepare and send out all outgoing mail and courier
  • Order of general office supplies
  • Receive, sort and distribute incoming faxes
  • Organize conference and meeting room bookings
  • Co-ordinate meetings and organize catering
  • Ensure knowledge of staff movements in and out of organization via maintenance of staff calendar
  • Maintain supply room for tidiness and inventory
  • Maintain reception area and boardrooms for tidiness and organization
  • Maintain staff lounge for tidiness and inventory
  • Monitor and maintain office equipment, including ordering of supplies/service
  • Making travel arrangements on behalf of senior staff
  • Schedule appointments on behalf of senior staff
  • Provide general administrative and clerical support
  • Other duties as required


Skills, Education, Knowledge and Experience


  • Minimum 2 years prior experience in a similar role
  • Post secondary degree/diploma
  • Excellent communication and organizational skills
  • Knowledge of administrative and clerical procedures
  • Knowledge of customer service principles and practices
  • Ability to multitask
  • Microsoft Office and data entry an asset
  • Strong written and verbal communications skills with the ability to communicate openly and effectively at all levels
