Helping protect what matters most.HUB International is looking for a dynamic Administrative Assistant to provide high level administrative support to a busy Wealth Management Employee Benefit’s (WMEB) Practice in our Windsor office. Key Responsibilities

  • Processing all new business applications including; life new business and insurance policies into the HUB database

  • Preparing quotes and illustrations as necessary

  • Liaising with different insurance carriers and coordinate the underwriting requirements for each new client

  • Follow up on any pending insurance applications

  • Assisting with client services and responding to client inquiries and concerns in a timely fashion

  • Verifying client information, plan and premium coverage against the issued policy are accurate and up to date

  • Conducting first review of applications to ensure full completion and make note of any missing or required information

  • Verifying any requirements (i.e. medical) and ensuring they are ordered as required

  • Ensuring scanned documents are attached accurately and correctly within the correct database

  • Ensuring new business is processed and settled in a timely manner

  • Arranging client appointments and assisting with the preparation of meetings, including preparing an agenda.

  • Adhering to all regulatory rules as it relates to the client accounts and related documents.

  • Maintaining client files, including filing of incoming mail and archiving of old records.

  • Ensuring client interaction is accurately documented.

  • Providing back up support of investment office as needed.

  • Maintaining files per compliance requirements

  • Other duties as assigned

Qualifications and Experience:

  • Post-Secondary Education or commensurate work experience;

  • Minimum 2 years’ administrative support experience

  • Proficient in Microsoft Office: Word, Excel, and Outlook;

  • Experience with Goldmine an asset or other CRM systems

  • Ability to learn new systems i.e. insurance management systems, company portals etc.

  • Strong organizational, time and client management skills

  • Effective communication skills: verbal and written

  • Strong team player and ability to work independently

  • Proactive and customer focused approach

  • Strong initiative and follow up skills
