GMS Insurance, a HUB International company is looking for a dynamic Part Time Administrative Assistant to provide high level administrative support to our small but busy Wealth Management Employee Benefit’s (WMEB) Practice in our downtown Kitchener GSW SWO/HUB International Office working Monday to Thursday 9-1 p.m.  If you are a team player, possess strong attention to detail and take pride in customer excellence, then this may be a role for you!  Superior time-management, organizational and MS Office skills are essential for this position.

Key Responsibilities

Administrative Duties:

  • Responds to general client inquiries within one business day
  • Assistant the Account Manager with preparation of client reports for each client
  • Sending renewal requests letters to the insurers and gathering and organizing client data for each report
  • Reads and analyzes incoming memos, submissions, and reports
  • Prepares and sends out outgoing mail and courier items;
  • Opens, sorts and executes all correspondence, including mail, faxes and email in a timely manner;
  • Completes rate reconciliation after renewal or new account set up
  • Ensures client files are up to date
  • Assembles benefits proposals booklets for prospect meetings
  • Conducts Benefits Comparisons and generates reports
  • Gathers employee data
  • Prepares cover letters
  • Other duties as assigned

 Qualifications and Experience:

  • Post-Secondary Education or commensurate work experience;
  • Minimum 2 years’ administrative support experience
  • Prior experience in Benefits and/or Group Retirement industry desired
  • LLQP License an asset
  • Proficient in Microsoft Office: Word, Excel, and Outlook;
  • Flexible and adaptable to the changing needs of the company
  • Strong organizational, time and client management skills
  • Effective communication skills: verbal and written
  • Ability to work independently and in a team
  • Proactive and customer focused approach
  • Strong initiative and follow up skills
