Position Summary 

HUB International has a Proposal Writer 16-month contract available in any one of our HUB Office locations:  Toronto, ON, Halifax, NS, Fredericton, NB or Calgary, AB to support the HUB National Accounts Team (NAT) and report to the Senior Vice President based in Halifax, Nova Scotia.  The Proposal Writer will play a key role in all company responses to Requests for Proposals. This will include writing, researching and coordinating information through to final production of the proposal and related documentation. This role will also support the acquisition of new business and retention of existing business across all product lines with a focus on public tenders.  The Proposal Writer will work in cross-functional teams with Consultants and subject matter experts from throughout the organization.

The Proposal Writer will be responsible for understanding the proposal strategy and developing a solutions-based proposal in response to our clients’/prospects’ workplace health and productivity needs.  This is an ideal role for someone with a solid proposal writing background, project management, experience overseeing compliance components, experience supporting national teams and working with procurement and large and complex organizations.

Job Responsibilities:

  • Analyzes and understands the requirements of RFPs, RFQs, RFI, Task Orders, and planning and crafting responses that adequately meet and address these
  • Writes and edits proposal for readability, consistency, and appropriate tone describing company capabilities, management approach, and/or past performance
  • Collaborates with Subject Matter Experts and corporate teams, developing and writing technical and management content for responses which are compliant with the proposal requests
  • Analyzes data to ensure relevancy of past performance materials to current requirements
  • Coordinates all information in format requested in RFP against Company standards
  • Edits and proofreads proposal and other related materials to ensure accuracy, clarity, readability, consistency with company guidelines and standards
  • Collaborates with Corporate Leadership to develop proposal strategy, identify potential areas of improvement, solutions, and themes that support the win strategy
  • Monitors various portals and websites for new RFP opportunities, downloading and distributing as appropriate
  • Meets proposal deadlines by establishing priorities and target dates for information gathering, writing, review, and approval
  • Maintains files of all RFPs and completed proposals and presentations
  • Maintains up-to-date content library
  • Completes Requests for Information (RFIs) and Requests for Qualifications (RFQs) following the same requirements as for RFP's
  • Assists in special projects requested by Business Development, Operations personnel and Marketing Department
  • Performs other duties as assigned by management

Qualifications and Required Experience: 

  • Bachelor's Degree/College Diploma in related field and 3 years of experience in writing proposals in response to business RFP's
  • Technical writing, copywriting, and editing experience in all professional and business writing
  • Exceptional writing and editing skills
  • Advanced Proficiency in MS Office: Word, Excel, PowerPoint and Outlook
  • Strong organizational skills that demonstrate a high level of accuracy and attention to detail
  • Ability to work collegially under strict deadline pressure and handle multiple work assignments
  • Some broader communications experience/knowledge beyond proposal writing is desired to ensure strong collaboration and coordination with web communications, public relations, graphic design, and marketing teams
  • Ability to learn quickly, demonstrates critical thinking, and makes situation-appropriate decisions using sound judgment
  • Outstanding interpersonal and communication skills
  • Experience working in a high-paced, large company environment
  • Experience in any of the following fields an asset:
    • Human Resources
    • Wellness & Health Promotion
    • Disability Management
    • Workers’ Compensation Management
    • Employee Assistance Program
  • Experience with Qvidian, or similar content library platforms, is an asset
  • Experience with managing multiple and complex proposals
  • Bilingualism (English & French) verbal and written is preferred
