HUB International’s vision is to be the leading sales and service organization in the insurance industry.  HUB International continues to grow and we are seeking a strong customer focused Administrative Assistant (18 month contract) to join our dynamic Operations team based in our St. Catharines HUB office. The successful candidate will report to the Manager, Administration & Office Services with a dotted lined reporting into Commercial and Personal Lines Managers.

Responsibilities:

  • Assist brokers with administrative duties including any special short- and long-term projects
  • Aid in resolving client concerns and complaints, ensuring that service excellence standards are met
  • Support the Commercial Lines IBU and Investment Programs teams by; gathering information from clients via email, forwarding return emails to underwriting with correct premiums, issue renewal letters, process invoices, issue new business, create policy enclosure letters and forward to the clients
  • Ongoing interactions with Commercial Lines clients to follow-up on accounts receivable and advise the commercial lines account managers of status
  • Support both the Personal Lines and Commercial Lines teams with processing of EZ Docs
  • Trouble-shoot technical issues as required (i.e. telephone, computer, office equipment) 
  • Back-up to reception, including banking & deposits as required (i.e. over lunch hour, vacation coverage)
  • Any other duties and tasks that may be assigned by Management

 

Qualifications:

  • Minimum High School Diploma or equivalent work experience
  • Previous experience within a customer service or administrative support role
  • Prior experience within the Insurance industry considered an asset
  • RIBO licensed, or willingness to obtain
  • A strong team player with a positive attitude, self-motivated, and the ability to work in a fast-paced environment
  • Strong interpersonal and communication skills both written and verbal
  • Collaborates respectfully and effectively; with the ability to work well in a team and independently
  • Effective organizational and time management skills with a keen attention to detail
  • Ability to learn new software systems and follow ongoing changes to workflows as required
  • Proficient in Microsoft Office: Word, Excel, PowerPoint and Outlook
  • Experience with EPIC broker management system an asset
