Job Description


Reporting to the Senior Vice President of Finance and Administration, the successful candidate will provide a full range of administrative and operational support to the President and Executive Management Team.


  • Responsible for a variety of administrative tasks ranging from managing a busy and ever-changing calendar, schedule and plan meetings, calls, and assisting with corporate events
  • Interact with both internal and external executives and assistants, to coordinate a variety of meetings with the flexibility to adapt to rapidly changing schedules
  • Schedule travel arrangements and itineraries and reservations
  • Works closely and effectively with executives to keep them informed of upcoming commitments and responsibilities
  • Utilizes strong judgment in managing priorities of requests and escalating as necessary for resolution, and/or prioritization, while determining the appropriate course of action
  • Running reports and record keeping as needed by senior staff and management
  • Assist and coordinate office furniture and moves including branch offices
  • Prepare agendas and provide minutes for various meetings, and do necessary follow-ups and reminders
  • Coordinate and manage special projects, assignments and other duties as may be required

Requirements and Skills:

  • Minimum 5 years’ experience supporting senior level executives
  • Post-secondary diploma or degree preferred
  • Polished and professional with a positive and friendly personality
  • Exceptional written and verbal communication skills with ability to handle multiple priorities
  • Demonstrates a proactive approach to problem-solving, with strong decision-making capability
  • Excellent analytical, time-management and organizational skills, and detail oriented
  • Highly proficient in MS Office, and well-versed on conferencing platforms such as Zoom, Webex and Microsoft Teams
  • Have a proven ability to maintain confidentiality and manage sensitive data and information
  • Knowledge of the insurance industry would be considered an asset
