Job Description

 

Our administration team ensures the prompt delivery of all incoming/outgoing mail and correspondence; provides back-up reception, and other general assistance to ensure smooth operational flow for our staff and clients.

Position responsibilities:

  • Provide clients with prompt, courteous and professional service
  • Sort incoming mail/courier items and distribute to the appropriate handler
  • Manage electronic mail and attach to client files, or email to staff
  • Download mail from company portals for distribution, including client credit card updates
  • Direct incoming faxes to the appropriate department
  • Pick-up and arrange the transmittal of outgoing mail and courier, including special packages
  • Deliver mail, registered letters and express post to post office
  • Contact vendors for equipment maintenance, document shredding and offsite storage
  • Online request of MVRs, Autoplus and Hits reports and attach to client base
  • Provide information for lienholder and mortgagee requests
  • Ordering of office supplies and maintaining postage meter and copier/printers
  • Other miscellaneous duties such as photocopying, scanning, and other assignments as requested

 

Knowledge, Skills & Qualifications:

  • A strong attention to detail and accuracy is a must
  • Strong organizational skills with the ability to be flexible
  • Excellent communication skills, telephone etiquette and professional appearance
  • Hard worker with ability to handle multiple requests, and a desire to help your internal and external customers
  • Must be punctual and willing and ready to cover for receptionist when absent
  • 1 to 2 years experience in the Insurance industry would be considered an asset
  • Proficient with MS Word, and experience with The Agency Manager (TAM) would be considered an asset
  • Ability to lift boxes up to approximately 30lbs (ie., photocopy paper boxes and large files, etc.)
