This full-time position works alongside two other Administrative Assistants and a Receptionist. Together, the Administration Team ensures the prompt delivery of all mail & correspondence; provide back-up reception, and other general assistance to ensure smooth operational flow for our staff & clients. Position responsibilities: - Sort incoming mail with client files and distribute to the appropriate handler - Pick-up and arrange the transmittal of outgoing mail & courier, including special packages - Back-up relief of 10+ line switchboard - Manage the print & mail rooms, ensuring files are neat, properly labelled, adequate supplies on-hand - Direct electronic and manual faxes - Other miscellaneous duties such as typing, photocopying and other assignments as requested Knowledge, Skills & Qualifications: - A strong attention to detail and accuracy is a must; - Strong organizational skills with the ability to be flexible - Excellent communication skills, telephone etiquette and professional appearance - Hard worker with ability to handle multiple requests, and a real desire to help your internal and external customers - Must be punctual and willing to come in at 8:00 when our receptionist is absent. - Proficient with MS Word, Internet We offer a work environment that is described by our clients, insurers and employees as being fun, challenging, stimulating, fast paced and highly professional.
